Terms and Conditions
Mubarak Haj & Umrah Service (“Company”) provides Hajj pilgrimage services in accordance with the regulations of both the Government of India and the Ministry of Hajj & Umrah, Kingdom of Saudi Arabia. All bookings, services and operations are subject to the Terms & Conditions outlined below. By registering or booking with us, every pilgrim agrees to follow these guidelines and the official rules prescribed by the authorities of both countries.
Regulatory & Legal Framework
Hajj operations fall under a dual-government system. Every pilgrim and Hajj Group Organiser (HGO) is legally bound to follow the policies, instructions and approvals issued by:
The Government of India, Ministry of External Affairs, CGH, Consulates, Immigration, RBI and relevant departments.
The Ministry of Hajj & Umrah, KSA, through platforms like e-Hajj, Nusuk Masar, Saudi Immigration, Moallim authorities and local municipalities.
As these authorities control the quota, visa approvals, travel movement, tent allocations and operational permissions, certain situations may arise that are outside the control of the Company or the pilgrim. In all such cases, the decisions of the governments must be followed without exception.
Booking Eligibility & Documentation
All pilgrims must possess a valid Indian passport with a minimum six-month validity from the date of travel, and must submit all required documents on time. Depending on nationality or departure country, additional documentation such as residence permits, NOCs, and vaccination records may be required.
Pilgrims are responsible for ensuring that all documents, biometric verifications and medical certificates are completed within the given timelines. Delays or incomplete submissions may lead to rejection by Saudi authorities, for which the Company cannot be held responsible.
Package Pricing & Currency Policy
Package prices are calculated based on several dynamic factors such as USD exchange rate, airfare, VAT, Saudi taxes, Moallim charges, accommodation rates and service fees. Since these prices fluctuate internationally, any increase in USD rates, airline fares, VAT, transportation costs or government-imposed charges must be borne by the pilgrim.
For any pilgrim, GST and TCS apply as per Government of India regulations. For international departures, applicable local taxes or remittance fees may apply based on the country of booking.
Payments & Confirmation
A booking is considered confirmed only after the initial advance amount has been paid. A portion of this advance (₹1,00,000) is strictly non-refundable as it is used for initial processing and operational allocation.
All payments must be completed before the stipulated deadlines. Failure to pay within the schedule may lead to automatic cancellation of the booking, and the Company reserves the right to forfeit previously paid amounts based on cancellation timelines.
Visa, MOFA & Saudi Authorization
The issuance of Hajj Visa, MOFA number, biometric approval and Masar clearance is solely at the discretion of Saudi authorities. The Company facilitates the documentation process but does not control the final approval.
If the visa or MOFA is issued, the booking becomes fully confirmed and non-refundable, since funds are immediately utilized within Saudi systems and cannot be recovered.
Cancellation & Refund Policy (Integrated Section)
No refund will be issued in case of unused services or a shorter duration of stay.
In the event of a passenger being offloaded by emigration authorities or airlines in India or Saudi Arabia for any reason, whether personal or general, or due to past records or actions of hiding medical conditions, Mubarak Haj & Umrah Service shall not be responsible, and no claim for a refund will be entertained.
All departures are ex-Hyderabad. Any extension in the flight or Muallim route will be charged additionally.
Cancellations up to 31 December 2026:
30% of the total package amount will be forfeited.Cancellations up to 31 January 2026:
50% of the total package amount will be forfeited.Cancellations after 31 January 2026:
No refund will be applicable.
Once the Hajj Visa or MOFA is issued by Saudi authorities, no refund can be provided regardless of the cancellation date.
Airline ticket refunds, if applicable, will be processed strictly according to airline policies. No refunds will be provided in cases of no-show, immigration offloading, incomplete documentation, delayed biometrics, failure to meet health requirements, or voluntary non-usage of any service.
In situations governed by the Indian or Saudi Government — such as quota changes, operational restrictions, e-Hajj/Masar system delays, or funds being held in the Saudi wallet system — refunds (if applicable) can only be processed after funds are released by the concerned authorities.
Accommodation & Rooming
Hotels displayed on the website or brochure represent the class/category only. A similar hotel may be provided based on availability and Saudi regulations. Room allocation is determined by hotel management during peak Hajj season, and configurations may include double, triple or quad occupancy depending on the package.
No refund applies for unused hotel services, early departure, or changes required due to operational needs.
Itinerary, Flights & Travel Schedule
All itinerary details, Arabic dates, flight timings and travel plans are approximate and may shift slightly due to Hijri calendar adjustments, airline schedules, weather, or instructions from the relevant authorities. Delays or changes are common during Hajj operations.
Such adjustments do not qualify for refunds or compensation.
Mina, Arafat, Muzdalifah & Moallim Services
Tent allocation, zoning, facilities, food service, cooling arrangements and transportation during the 5 days of Hajj are managed solely by the official Moallim and Saudi Government. These allocations may change at any time due to system updates or crowd management requirements.
The Company will coordinate as per the official arrangement but cannot modify government-mandated allocations.
Transportation & Movement
All mandatory transportation within Saudi Arabia—particularly during the 5 days of Hajj—is provided under government-controlled systems. Airport transfers and intercity travel may involve waiting periods based on clearance procedures. Personal transfers or additional vehicles are not included unless specifically stated.
Luggage & Personal Belongings
Pilgrims are responsible for their personal luggage and belongings throughout the journey. The Company is not liable for lost or damaged items, including Zamzam. Excess baggage charges must be paid directly to the airline.
Health, Medical Fitness & Safety
Hajj is physically demanding. All pilgrims must be medically fit and obtain a valid medical fitness certificate. Required vaccinations (such as Meningococcal ACWY, Polio, Yellow Fever where applicable, and COVID-19) must be completed before travel.
Pilgrims requiring assistance must be accompanied by a capable relative. Travel may be denied by authorities if medical requirements are not met.
Conduct & Compliance
Pilgrims must follow all instructions issued by Company staff, Moallim officials, Indian and Saudi authorities. Respectful behavior and group discipline are mandatory throughout the journey.
Events Beyond Control
Certain events, such as quota modifications, government-imposed restrictions, system failures (Masar/e-Hajj), flight delays, or natural conditions, are beyond the control of the Company. In such cases, operations will follow official instructions, and refunds (if applicable) depend entirely on recovery from relevant authorities.
Jurisdiction
All matters related to bookings, travel, or services shall fall under the jurisdiction of Hyderabad, India, unless local international laws apply differently for foreign citizens.
